ShipHawk Guide
Create a New Shipment Screen
This page defines all the screens and accompanying fields that populate after selecting the Create a New Shipment action from the Shipments drop-down in ShipHawk TMS. The Create a New Shipment action is divided into four sequential screens: Quoting, Rates, Shipping Info, and Book Shipment. Each screen builds on information gathered from the previous screen, meaning each screen must be filled out in order to move on to the next one.
This section will be separated into four parts, representing each screen under the Create a New Shipment action.
On this page:
Create a New Shipment
You can use the Create a New Shipment action to book a single shipment after you have selected a rate and entered the necessary shipment information. You can also use this action to get a shipping quote based on the rate you selected and the shipping information you provided. After you click Create a New Shipment, you will be redirected to a series of screens where you can enter all shipping information needed to get a quote or book a shipment.
Enter Rating Info
After you click ‘Create a New Shipment’ you are redirected to the Quoting page, this page is also referred to as the Enter Rating Info page. Use this page to enter details of the package you are shipping, so ShipHawk can return a rate on the next page. Rates returned through ShipHawk are real rates, not just estimates, meaning it’s important all information is entered accurately. The following are default panels present on the Quoting page:
Ship Date: A default field populated at the top right- hand side of a page. To change the shipping date, click the date next to Ship Date in the top right and use the calendar to select a new date.
Where are you shipping? The first panel in the Quoting page. The shipment only requires the relevant country, zip, and residential status to produce a rate. If you are shipping internationally, a line item with an H.S. code will be required later. You can add the full origin and destination address instead by clicking the Edit (Pencil) icon to the right of the location type to open the full address box.
Location Type: A drop-down field under the Where are you shipping? panel. Select whether the address you entered is of commercial or residential location type. Commercial location types entail pickup or delivery from a place of business. Residential location types entail pickup or delivery at a home, where truck access could be limited
What’s being shipped? The second panel on the Quoting page. This panel is identical to the Handling Units/Package Details section of an Order Details page. Shipments consist of handling units, which are packages. Handling units are a certain Packing Type, which generally describes the container used for the shipment. Enter product details in this panel to get carrier rates. For more information, refer to theOrder Details View | Handling Unit/Package Details page.
New Package: An option under the What’s being shipped? panel. If your shipment contains more than one Handling Unit, select new package to add another one to your shipment.
Choose Your Options? A panel in the Quoting page. Contains a list of accessorials you can choose to include for your shipment. Accessorials generally cost extra. However, some services incorporate these into their base rate. If you expect to use an accessorial, make sure to check the box to receive an accurate quote.
Reference Numbers: Important order numbers that can be added by your organization to input in fields later. Examples include customer order numbers or purchase order numbers.
Carrier & Service: Specify here if you’d like to use your package details to get a rate comparison on the next screen. If you already know the carrier and service you would like to use, select Specify now without rating.
Shipment Line Items: An optional panel in the Quoting page. Here you can list the item contents of your shipment.
Choose a Rate
After you enter package details in the Quoting page, this information is used to generate a list of rates you can compare and choose from. All services available are listed, depending on what carriers you have integrated into ShipHawk. By default, this list is sorted by Rate.
After you select a rate, you can choose accessorials specific to the carrier. You can click Continue to move on to the next screen.
Enter Shipping Info
This screen is used to finalize address information for the shipment. You can manually fill out the Origin and Destination addresses using the fields below the Origin Address and Destination Address panels.
When editing addresses, remember you must keep the zip code the same, as the rate was based on the zip code entered in the Quoting page. City, state, zip, and country can be edited by returning to the first step but will require you go through Choose a Rate again.
Lookup Address: An alternative to manually editing the Origin and Destination Address fields in the panel. If you have addresses saved in your Address Book, search for them by typing their name, address, email, or phone in the box and ShipHawk will auto-fill in the rest. To narrow your results, Lookup Address will only return addresses that contain the zip code entered in the first step.
Pickup Instructions: You can leave written out instructions for package pickup in this field. If there is anything you could not address in the accessorials, you can note it here.
Delivery Instructions: You can leave written out instructions for package delivery in this field. If there is anything you could not address in the accessorials, you can note it here.
Book Shipment
The final screen before booking a shipment. This screen contains the Shipment Information that you confirmed in the previous screen. You can edit this information one final time by clicking the Change button on the Shipment Information panel. You can also verify the address you are shipping to by clicking the Verify address button at the bottom of the same panel.
The Rate information is located on a cart to the right of the Shipment Information panel, here you can view the carrier, service, transit time, and estimated delivery date of your shipment. If the shipment information is correct, and you are satisfied with the rate, click Finish to book your shipment. This will create a new shipment in the Shipment History page.
