Support for serialized / lotted items is generally available to all ShipHawk users. Most use cases are specific to NetSuite customers. The following section describes how ShipHawk interacts with NetSuite when importing products, synchronizing orders & item fulfillment records, and provides user guidelines for the related features in ShipHawk.

Product Imports

When importing products from NetSuite, ShipHawk automatically detects serialized or lotted item types in NetSuite and marks them as either serialized or lotted in the ShipHawk Products Catalog. 

You have the option to change the serialized/lotted classification of the items in ShipHawk after the product has been imported. This is applicable when you manually manage the product imports to ShipHawk.

Serialized / lotted items in orders

Orders created in or imported to ShipHawk that contain serialized / lotted items are recognized based on the information stored in ShipHawk’s Products Catalog. If the Proposed Shipment does not already contain serial / lot numbers for an item from a related source system, users may add serial / lot numbers to those items before booking a shipment. 

To add a serial / lot number to an item

Before adding serial/lot numbers to order items, ensure the items are synced to ShipHawk as either serialized or lotted items, and a proposed shipment is created and ready to be shipped for the order. 

  1. On your Order Details screen click the Select Items button.


    The Select Items modal appears.



    This screen shows the item details of the order line items in the orders by package. 

  2. Click on the Add Serial # or Add lot # link under the Serial/Lot # column. The Select Items - Package # screen appears.


  3. You can either scan or type in the barcode of your serial / lot number in the field.


    When an order contains items with a quantity greater than one, you may enter a serial / lot number for each quantity of the item. 


    You may also remove a serial / lot number that has already been entered in case you want to make a change.

  4. For serialized items, each serial number must be unique for each quantity of your item. 

    For lotted items, you may use the same number as the lot number for multiple quantities of your item.


    If the same serial number is added more than once to an item, an error message is displayed.


  5. When you are done, click Finish. If you have missed adding a serial or a lot number to any of your items in the package, you are reminded with a warning message. You may still choose to proceed with booking the shipment.

Serialized / lotted items with item fulfillments

The following section describes the ShipHawk system behavior with NetSuite item fulfillment records for serialized / lotted items.

Item Fulfillment synchronization to ShipHawk

Your item inventory and picking process may be managed in NetSuite using either the in-built functionality within NetSuite or an integrated Warehouse Management System. In any case, the picking and/or packing process is done within NetSuite, an item fulfillment record is created, and the serial / lot numbers for your items are assigned if you have serialized / lotted items. 

When an item fulfillment record is created in NetSuite, the record automatically syncs over to ShipHawk along with the serial/lot information and creates a proposed shipment for the related order. Depending on your workflow and  the pack verification settings in ShipHawk, you may use the item’s serial or lot numbers to pack-verify the items. 

Shipment write-backs to item fulfillments

When you book shipments in ShipHawk, the information is sent back to NetSuite and the related item fulfillment record is either created or updated with a ‘shipped’ status.

When ShipHawk is updating an item fulfillment record, the inventory is already set up and the serial / lot numbers are already assigned to the related items. In this case, ShipHawk updates the record with related shipment information and sets the status to ‘shipped’.

When ShipHawk is creating an item fulfillment record, ShipHawk initializes the item fulfillment record in NetSuite, searches for all available serial / lot numbers for the given item, and uses the serial / lot number information added in ShipHawk to match the numbers. If the serial / lot number matches, ShipHawk automatically selects the serial / lot number in the item fulfillment record and creates the record with related shipment information in a ‘shipped’ status.

It is important that the serial / lot numbers entered in ShipHawk match exactly the serial / lot numbers that have been setup in NetSuite, otherwise the shipment write-back to NetSuite cannot be executed.

Other Use Cases

Besides the use cases mentioned above, you may use serial/lot numbers in ShipHawk in additional ways.

Search orders and shipments using serial / lot numbers

You can search orders in ShipHawk from the orders home page using the serial / lot number.

Print serial / lot numbers on your packing slips / pick tickets

Using our HTML/Liquid editor available under ShipHawk’s Settings menu, you may add serial / lot numbers in your customized packing slips and pick tickets.
