System Access / 2FA (Settings Screen)

Security Controls: 2FA and System Access

ShipHawk provides permissions and security controls to reduce the risk of unauthorized access to provide a more secure platform.  These controls include:

  • Multi Factor Factor / Two Factor Authentication (2FA).

  • IP address whitelisting, where admins can restrict access to the ShipHawk TMS user interface based on pre-configured Internet Protocol (IP) address ranges for groups of users.

Important: ShipHawk strongly recommends using whitelisted static IP addresses for regular users. Doing so can significantly reduce the risk of unauthorized access and potential security breaches. If your ISP does not provide static IPs, we recommend exploring affordable solutions like VPNs with static IPs or working with your network provider to obtain a reserved range.

As an admin, to configure 2FA and for your system, choose > Settings > System Access / 2FA.

Multi Factor Authentication

Two-Factor Authentication (2FA) adds an extra layer of security to your account.

When this setting is enabled, users will be prompted to set up 2FA the next time they login. Setting up 2FA is simple but will require users to have an authentication app on a mobile device or PC. Authenticator Apps are available from Google, Microsoft, Salesforce and more. Once configured, users will be prompted for a code each time they login to ShipHawk.

  • Admins can reset 2FA for any user on the Users page in ShipHawk.

  • If all admins lose 2FA access, contact ShipHawk support for assistance.

To enable multi factor authentication, select Enable two factor authentication for all users.

IP Address Restrictions

Admin users can restrict access to the ShipHawk UI based on pre-configured IP ranges for groups of users.  Setting IP limits, also known as IP whitelisting, allows admins to restrict access to the ShipHawk site to specific IP addresses (or a range of IP addresses).

Important: IP whitelisting restrictions do not apply to admin users, who must always use 2FA. This gives admin users more flexibility about how they can access ShipHawk, but to assure additional security, they must use 2FA.

Multiple IP ranges can be configured for merchants with multiple warehouses, and different restrictions can be applied based on different User Roles in ShipHawk.  

ShipHawk highly recommends that you use this feature for your security and for your customers’ security.

If you wish, you can specify that regular users who have 2FA enabled are not restricted by IP address whitelisting. To skip IP whitelisting for those users who have enabled 2FA, select Skip IP whitelist for users with enabled 2FA.

To specify access / login restrictions based on IP addresses:

  1. Click + ADD IP ADDRESS.
    The Edit IP Address pop-up screen is displayed.

  2. Select Warehouse Name (to select from a pre-configured warehouse) or Custom Name to specify a range for some other purpose.

  3. In Warehouse Name, select from the available warehouses, or in Name, enter a custom name.

  4. In Start, enter an IP address, the starting address for a range of IP addressess.

  5. In End, enter the ending IP address for the range.

  6. From Apply Range to Roles, select the users roles to which the restrictions apply (All User Roles, Shipping Clerk, Shipping Manager).
