Shipper's Letter of Instruction
This document discusses how the Shipper’s Letter of Instruction is handled in ShipHawk and the setup tasks necessary to begin using this feature. This document does not include the configuration and customization of the intermediate consignee addresses, which must be configured first before creating a new Shipper’s Letter of Instructions. This information can be found in a separate document: Intermediate Consignee: Setup Through Netsuite.
Shipper’s Letter of Instruction
A shipper’s letter of instruction (SLI) is an optional shipping document that communicates specific instructions from the shipper to their freight forwarding agents or intermediate consignee, usually for air or ocean shipments. SLIs detail how and where the intermediate consignee should send the shipped items. The SLI usually serves the following functions:
Provide instructions on how to transport the items and what to do with the associated shipping documentation.
Provide export control and reporting information.
Authorize the intermediate consignee or freight forwarding agent to transmit Electronic Export Information (EEI) to the Automated Export System (AES).
Setting up the shipper’s letter of instruction
The shipper’s letter of instruction (SLI) requires setup in both NetSuite and ShipHawk. The following sections provide procedures for how to configure each part of this shipping document.
SLI Setup in NetSuite
Before generating an SLI for each shipment sent to a freight forwarding agent, you must first map the intermediate consignee address details to ShipHawk. This information is a necessary prerequisite to creating an SLI. For detailed procedures on this setup process, see the Intermediate Consignee Setup Through NetSuite feature article.
SLI Setup in ShipHawk
To automatically generate an SLI for each shipment sent to a freight forwarding agent, you must first enable the Allow Shipper’s Letter of Instruction setting in ShipHawk. Speak with your account manager to enable this setting.
Once enabled, you can access the system template for the SLI and customize it to suit your organization’s needs. In addition to the SLI template, you can also create rules to perform actions automatically with the SLI template.
For all appropriate shipments, the SLI is available to print from the Actions section of the Shipment Details screen. The SLI is grouped with the rest of the available shipping documents.
To enable SLIs in ShipHawk:
Log into your ShipHawk account.
Click the Settings icon > Settings > Shipper’s Letter of Instruction. You will be redirected to the Shipper’s Letter of Instruction screen.
Click the + Create New Template button. The Add New Template for Shipper’s Letter of Instructions screen appears.
Complete the screen with relevant information. The references you set up in NetSuite can be mapped here to the Shipper’s Letter of Instruction in relevant fields.
Click the Add New Template button to finish.
Repeat this process for any other templates you wish to create. The template can now be incorporated into ShipHawk’s shipping policies.
