Ready-to-Ship (RTS) Mode User Guide

Ready-to-Ship mode is a shipping workflow in the ShipHawk web application that allows shippers to perform pack verification and label printing for orders that are “ready to ship”. Ready to ship orders do not require additional data input prior to verifying items and requesting a shipping label. 

The shipper can use a barcode scanner and skip data entry to quickly process, print labels and fulfill orders that are ready to ship.

This guide is for system or warehouse administrators and shipping managers. It.provides instructions for setting up and using the Ready-to-Ship mode, guiding you through each step of this process with detailed instructions and tips for optimizing your fulfillment workflow.

About the Ready-to-Ship mode

Ready-to-Ship mode is a shipping workflow in the ShipHawk web application that allows shippers to perform pack verification and label printing for orders that are “ready to ship”. Ready to ship orders do not require additional data input prior to verifying items and requesting a shipping label. 

The shipper can use a barcode scanner and skip data entry to quickly process, print labels and fulfill orders that are ready to ship.

This section provides a broad overview of the steps necessary to begin using the Ready-to-Ship mode.

Installation

Ready-to-Ship mode is a feature that is built into the ShipHawk application itself. There is no installation necessary. You can simply contact your Customer Success Manager or Account Manager to enable Ready-to-Ship mode for your account.

Ready-to-Ship order

Industry term

An order that does not require additional data input (weight, dimensions, etc.) prior to verifying items and requesting a shipping label. These order items often come pre-packaged in their own boxes and exist in the warehouse in a ready-to-ship state.

RTS

An abbreviation for Ready-to-Ship.

Ready-To-Ship Settings

ShipHawk’s Ready-to-Ship mode can be customized to fit your organization’s fulfillment needs using a few system settings. 

Configuring Ready-to-Ship mode

Once Ready-to-Ship mode is enabled by your CSM or account manager, a new setting specific to Ready-to-Ship mode becomes accessible to you. Using this settings, you can configure the following behavior:

  • Set the Ready-to-Ship index screen as the default homepage for your account.

This section provides detailed procedures for configuring this option.

To configure the Ready-to-Ship homepage

  1. You can set the Ready-to-Ship index screen as the default homepage for your user account using a modal window. When you open the Ready-to-Ship screen for the first time, ShipHawk prompts you to set this screen as your default with a message.

  2. Click the Make Default button to set the Ready-to-Ship index screen as your default homepage.

  3. If you choose not to make this page your default at this time, you can always enable this setting at a later time from the User drop-down menu > User Profile.

     

    The My Preferences screen appears with multiple options for your default homepage.

     

  4. Select the Ready-to-Ship Mode option. The Ready-to-Ship mode page is now your default.

You may switch your default homepage back to the Dashboard or Order Details option at any time.

Using pack verification with Ready-to-Ship mode

ShipHawk supports pack verification in conjunction with Ready-to-Ship mode. Once enabled, you can verify orders as part of your item fulfillment process. The pack verification setting only has two options:

  • When the Verify items setting is ON, item fulfillment requires users to scan and verify each item in an order.

  • When the Verify items setting OFF, item fulfillment does not require users to scan and verify each item in an order.

Fulfill Ready-To-Ship Orders

This section provides detailed procedures for using Ready-to-Ship Mode to fulfill orders. 

Fulfillment workflows

The pack verification setting affects the item fulfillment workflow, so the workflow instructions are separated into two sections.

To fulfill Ready-to-Ship orders with ‘Verify Items’ ON

  1. Navigate to Ready-to-ship mode. You can access it in one of two ways: 

    1. Click on the Ready-to-ship Mode option in the Orders menu

       

    2. Or go to the Order Details page and click the Switch to Ready-to-Ship link on the left sidebar.

       

  2. The Find Order screen appears.

  3. Scan or enter an Order Number or License Plate Number. The Verify Items screen appears. On the screen, you can see the list of items to verify.

    If the order can’t be found, ShipHawk displays an error message.

    If the order can’t be fulfilled in Ready-to-Ship mode, a warning message appears and you can navigate to the Order Details page to fix it.

     

  4. To update the dimensions or other attributes of the order, click on the link View/Edit Order at the bottom of the page.

     

  5. To return to Step 1 or the Find Order screen, click the Start Over link at the bottom of the page.

     

  6. Below the Find Order heading, you can find the Order Number, Carrier, and Service information.

     

  7. Scan or enter a SKU or UPC to verify items in the package. If you scan/enter the wrong item, the error message appears and an “error” tone sounds

     

  8. If you scan the correct SKU or UPC, the item on the list will be marked as verified with a green checkmark and a “success” tone sounds.

  9. Verify all the items in your order.

    When all items are verified, ShipHawk automatically books the proposed shipment to generate shipping and fulfillment documentation.

     

  10. Once a proposed shipment is booked, ShipHawk sends the associated shipping documents to your connected printer(s). All label formats and printer setting presets continue to be honored in Ready-to-Ship mode. You may choose to print your documents in the following combinations:

    • Label/BOL only

    • Label/BOL + Packing Slip

    • Label/BOL + Packing Slip + Carton Label

      You can configure the print settings in ShipHawk from the Settings menu. These settings can be found on the Printing tab and the Shipment tab.

       

  11. Then ShipHawk returns the user to Step 1 and opens the Ready-to-Ship screen again.

  12. From the Step 1 screen, you can:

    • Navigate to the recently fulfilled Order Details by clicking the Order Number in the Shipment Complete widget.

    • Navigate to the recently fulfilled Shipment Order Details by clicking the Tracking  Number in the Shipment Complete widget.

    • Reprint the shipping documents: either all by clicking on Print All or some documents by clicking on the down-arrow icon.

    • Minimize the Shipment Complete widget by clicking on the down-arrow icon in the header. To expand all shipments, click on the up-arrow icon.

  13. To exit the Ready-to-Ship mode, click the 'x' icon in the top right corner of the screen.

 

To fulfill Ready-to-Ship orders with ‘Verify Items’ OFF

  1. Navigate to Ready-to-ship mode. You can access it in one of two ways: 

    1. Click on the Ready-to-ship Mode option in the Orders menu.

       

    2. Or go to the Order Details page and click the Switch to Ready-to-Ship link on the left sidebar.


      The Find Order screen appears.

  2. Scan or enter an Order Number or License Plate Number to fulfill the order. One of two things occurs:

    1. If the order can’t be found, ShipHawk displays an error message and an “error” tone sounds.

    2. If the order can’t be fulfilled in the Ready-to-Ship mode, the following warning message appears and you can navigate to the Order Details page to fix it.

  3. When the order is found and ready to be shipped, ShipHawk books the proposed shipment.

  4. Once a proposed shipment is booked, ShipHawk sends the associated shipping documents to your connected printer(s). All label formats and printer setting presets continue to be honored in Ready-to-Ship mode. You may choose to print your documents in the following combinations:

    • Label/BOL only

    • Label/BOL + Packing Slip

    • Label/BOL + Packing Slip + Carton Label

  6. On the Step 1 screen, you can:

    • Navigate to the recently fulfilled Order Details by clicking the Order Number in the Shipment Complete widget.

    • Navigate to the recently fulfilled Shipment Order Details by clicking the Tracking  Number in the Shipment Complete widget.

    • Reprint the shipping documents: either all by clicking on Print All or some documents by clicking on the Arrow-down icon.

    • Minimize the Shipment Complete widget by clicking on the Arrow-down icon in the header. To expand all shipments, click on the Arrow-up icon.

  7. To exit Ready-to-Ship mode, click the 'x' icon in the top right corner of the screen.
